Terms and Conditions
Welcome to The Asbury Villas! By making a reservation and
staying at our property, you agree to the following terms and conditions.
Please read them carefully before booking.
1. Reservations and Payments
1.1 Booking Confirmation
- A
reservation is confirmed only after the required deposit has been
received.
- Guests
will receive a confirmation email with details of their stay.
- The
management reserves the right to cancel bookings that are incomplete or
unpaid.
1.2 Payment Policy
- A
deposit (typically a percentage of the total amount) is required at the
time of booking.
- The
remaining balance must be paid before check-in, usually within a specified
period.
- Payment
methods accepted: credit/debit cards, bank transfers, or other approved
payment options.
- Failure
to make full payment by the due date may result in cancellation of the
booking.
2. Cancellation Policy
2.1 Cancellation by Guest
- Cancellations
made more than 60 days before check-in: Full refund minus a
processing fee.
- Cancellations
made 30-60 days before check-in: Partial refund (typically 50%).
- Cancellations
made less than 30 days before check-in: No refund.
- No-shows
will be charged the full booking amount.
2.2 Cancellation by The Asbury Villas
- In
rare cases, due to unforeseen circumstances (e.g., property maintenance,
overbooking), the management reserves the right to cancel a reservation.
- In
such cases, guests will receive a full refund or an alternative booking
option.
3. Check-in and Check-out
3.1 Check-in
- Standard
check-in time: 3:00 PM β 8:00 PM.
- Early
check-in requests are subject to availability and may incur additional
charges.
- Guests
arriving after 8:00 PM must inform the property in advance for late
check-in arrangements.
3.2 Check-out
- Standard
check-out time: 10:00 AM.
- Late
check-out requests must be made in advance and may incur additional fees.
4. Property Use and Guest Conduct
4.1 Occupancy Limits
- The
number of guests staying must not exceed the maximum occupancy stated at
the time of booking.
- Unregistered
guests are not allowed without prior approval.
4.2 House Rules
- No
smoking inside the property. Designated smoking areas may be
available.
- No
parties or events are allowed without prior approval.
- Noise
levels must be kept to a minimum, especially between 10:00 PM and
7:00 AM.
- Pets
are not allowed unless specified otherwise.
4.3 Cleanliness and Maintenance
- Guests
are expected to maintain cleanliness during their stay.
- Any
damages or excessive mess may result in additional cleaning fees.
5. Security Deposit and Damages
5.1 Security Deposit
- A
security deposit may be required at check-in.
- This
deposit will be refunded after check-out if no damages or rule violations
are found.
5.2 Guest Responsibility for Damages
- Guests
are liable for any damage to the property, furniture, or amenities.
- The
cost of repairs or replacements will be deducted from the security deposit
or charged separately.
6. Liability Disclaimer
6.1 Personal Belongings
- The
property is not responsible for lost, stolen, or damaged personal items.
- Guests
should secure their belongings and use in-room safes if available.
6.2 Use of Amenities
- Use
of facilities such as swimming pools, gyms, and common areas is at the
guestβs own risk.
- The
property is not liable for injuries or accidents occurring on the
premises.
6.3 External Factors
- The
property is not responsible for disruptions caused by weather, power
outages, or local infrastructure issues.
7. Force Majeure (Unforeseen Events)
- The
property shall not be held liable for failure to provide services due to natural
disasters, government regulations, pandemics, or other unavoidable events.
- Guests
affected by such circumstances may receive a refund or the option to
reschedule.
8. Privacy Policy
- Personal
information collected during booking is used solely for reservation
purposes.
- We do
not sell, share, or distribute guest data to third parties.
- Payment
details are securely processed through encrypted transactions.
9. Governing Law
- These
terms and conditions are governed by the laws of Zambia.
- Any
disputes will be resolved in local courts.
